APPLICATION & PAYMENT TERMS

APPLICATION PROCESS

All applications must be submitted via the official online form on this website. Upon receipt, our team will review your submission and respond within 3 business days.


INVOICING & PAYMENT POLICY

Successful applicants will receive an electronic invoice with a specified due date. Please note that vendor placement is strictly unconfirmed until full payment is received, and allocations will not be held without payment.

  • Payment Deadlines: Invoices must be settled by the due date  provided. If an invoice remains unpaid after the due date, BWP Markets reserves the right to cancel the allocation and offer the space to the waitlist.
  • Automated Delivery Tracking: Invoices are issued through an automated system that monitors delivery and receipt. 

BWP Markets does not issue manual payment reminders or follow up on overdue accounts; it is the applicant's responsibility to monitor their inbox (including junk/spam folders) and ensure timely payment.


MARKETING & SOCIAL MEDIA PROMOTION

Our Promotional Commitment

  • BWP Markets maintains and active digital presence across Facebook, Instagram, TikTok, and dedicated event pages. We guarantee that every confirmed vendor will be featured on at least one of these official channels prior to  the event. Early application and prompt payment maximise your promotional exposure.
    Please Note that promotional features are reserved exclusively for accounts paid in full.

Collaborative Cross - Promotion

  • Market success relies on a collective effort. We expect all approved stallholders to regularly promote their attendance on their own social media channels. Tagging BWP Markets in your posts allows us to reshare your content to our broader audience, increasing your reach and keeping customers informed.



BUMP IN/OUT:

All Bump In/Out procedures are posted in our private Facebook group, please ensure that you join this group from the link given in your approval email. 


Site Maps, social media tiles, allocation and everything in between is posted in the group. Allocation is posted no later than Wednesday night before each market.


Our bump ins begin at 5am and are staggered in 15 minute lots. Exact details will be given in the group closer to the date.  


Vendors are permitted to drive their vehicle (one car per vendor) into the market section, unload all setup and then exit the market section to park their vehicle in the parking provided. 


PARKING

IMPORTANT: Parking is to be paid for by you the vendor from 9am. It is approx $20 for the duration of the market. We will not be responsible for your failure to adhere to the Gold Coast City Council Parking signs outlining required payments.


VEHICLE MOVEMENT:
NO VEHICLES ARE TO BE UTILISED WITHIN THE MARKET AREA DURING TRADING HOURS - ANY VENDOR BREAKING THIS RULE WILL NOT BE ALLOWED BACK TO FUTURE MARKETS. 


Bump out begins at 2.15pm. NO EARLY PACK UPS PERMITTED. 


LEG WEIGHTS & WIND PROTECTION

All vendors are required to bring adequate canopy leg weights and prepare for windy conditions.

Pegging into the ground is strictly prohibited at this site.

All freestanding display items (including racks and A-frame signs) must also be properly secured and weighted.


WIND

  • Due to our coastal location on the Broadwater strong gusts and fierce winds can occur. Please ensure all setups are reinforced accordingly.

HEAT & SUN

  • As an open air market with limited shade, vendors with heat-sensitive products must make appropriate arrangements (eg shade covers, cooling elements). Please consider this when applying and designing your stall layout.


STALL PRESENTATION
Vendors are expected to maintain a high standard of visual presentation and keep all displays, clothing racks and signage strictly within their allocated stall boundary. Displays must not encroach on neighbouring sites or common walkways.


SIGNAGE 

Professional signage is required, handwritten signs are strictly prohibited. A-frame signs are permitted for extra promotion provided they remain within your designated stall area.


APPROVED ITEMS & COMPLIANCE

Vendors may only display and sell products that were explicitly listed and approved in their initial application.

PRODUCT STANDARDS

  • All items offered for sale must strictly  comply with relevant Australian Standards.

FOOD VENDORS

  • Food stallholders must hold, display and supply copies of all valid local food licenses and food safety certificates prior to operating.


ATTENDANCE/CANCELLATIONS
In the case that the market is forced to postpone due to inclement weather, all vendors will receive a credit toward the next Broadwater Pavilion Market. 

  • WE DO NOT OFFER REFUNDS


It is imperative that you are committed to attending the market date once approved. If for any reason that you are unable to attend the following notice is applicable:


  • 14 days or more - credit for next market 
  • 7 - 14 days - credit for next market only given if your spot is able to be filled
  • Less than 7 days: Market Fee Forfeited


If you NO SHOW on market day you will not be approved for future markets with BWP Markets. No Shows affect the whole of our market from organisers to other vendors and customers. 


CODE OF CONDUCT & BEHAVIOUR
All stallholders are expected to maintain a professional, respectful, and courteous demeanour toward market staff, council representatives, fellow vendors and visitors. Abusive, aggressive or disruptive behaviour as well as failure to comply with market guidelines, will result in immediate removal from the event without refund or compensation.


POWER ACCESS & SAFETY


GENERATORS & LEAD COVERS

If you are operating a generator, and lead running outside your designated site or vehicle must be fitted with a heavy duty cable cover - no exceptions.

COMPLIANCE CHECKS

Site inspectors frequently conduct random checks on site to ensure electrical safety standards are strictly met.


INSURANCE

BWP  Markets provides Event Public Liability Insurance (PLI) for all  events. All stallholders must obtain their own specific Public Liability Insurance to a minimum value of 10 million dollars in cover and that their goods, services and business practices complying with all relevant safety, product and trade legislations. We can provide Public Liability Insurance for 20 stalls under our cover for an additional fee. All Stall holders must provide a copy of their insurance. 


CATEGORY EXCLUSIVITY & VARIETY
BWP Markets does not guarantee category exclusivity to any individual vendor. However, we actively cap category numbers and curate our lineup to ensure a diverse market mix.

VENDOR SPACING

  • While similar retail products may be present, market management ensures vendors offering comparable goods are positioned a reasonable distance apart.

FOOD VENDORS

  • We limit food vendors to one operator per specific cuisine type. Please note: overlapping menu staple items (such as fries or drinks) may still occur across different stalls.
